Though an obsolete trend, letters are a fun way to communicate with others globally. In the world that is driven by technology, letters continue to be valued by Institutions, Corporates, and Government firms.

Essentials of a Letter:

1) It is important to know who your audience is. Your tone, language, and choice of words depends on this factor.

2) Your audience may be formal: City Mayor, you may or may not know well
     Informal: Friend, you know well

There are 8 parts that must be included in a letter 

1)      Sender’s Address /Self Address
2)      Date
3)      Addressee/Receiver’s Address
4)      Subject
5)      Salutation
6)      Body, followed by conclusion
7)      Complimentary Close/Valediction/Subscription/Call for Action
8)      Signature

           Enclosure(s) if required

The body of the letter is important. The purpose of writing must be conveyed within the first two or three lines in the introduction paragraph. It should be written in chronological order or a sequence. 

      Format

 It is essential to use an appealing format and appropriate content. It speaks highly of the writer   The tone and register of the letter exhibits decency.

Let's learn with an example: A request for leave may be the most common reason for writing a letter, be it a student or an employee. This is a formal letter.

I, with great humility, would like to seek permission for a 3-day leave. I would like to attend an Internship Orientation Program that is being organized at Wipro Technologies Ltd, in Mysore Campus. I request you to grant me permission for 3 days starting from May 24th to May 26th, 2020.

This is an Internship related to C- programming which is a mandatory topic in my course of study. I will benefit from this learning to a great extent. Moreover, I consider this as a great opportunity as I have been selected out of 160 students who had applied for an Internship and had attended the selection process.

I assure you that I will make up for the classes that I will be missing during these three days.
I request you kindly to consider my leave request and grant me permission to attend the Internship Program.

       Important Note: 
       As you can see in the above example, the first few lines define the purpose of writing the letter.          The second paragraph elaborates on the reason for using a persuasive language. The last few 
       lines let the reader know what the writer is seeking.
